How to Make an Urgent Request Without Sounding Rude
Urgency isn’t the problem. Lack of context is. A short urgent message can sound like a demand.
Why urgent messages land badly
- They can ignore the recipient’s workload
- They can imply blame
- They often read like commands
A simple 3-part structure
- Reason: why it’s urgent (1 sentence)
- Request: what you need and by when
- Softener: “if possible,” “when you can”
Example
Too harsh: “Need this today.”
Better: “We need this to keep the timeline on track—could you share it today if possible?”
